Privacy Policy

1. Introduction

Cliamo is a church operations and management platform operated by Sweepix Limited(“we”, “us”, or “our”). This Privacy Policy explains how we collect, use, store, and share personal data when you use the Cliamo web application, mobile application (Bundle ID: com.cliamo.app), or any related services (collectively, the “Service”).

By using the Service you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the Service.

2. Information We Collect

We collect the following categories of personal data:

  • Account registration data — your name, email address, and hashed password created when you sign up.
  • Church membership data — your role within a church (e.g. admin, member), department membership, and roster duty assignments.
  • Profile data — an optional profile photograph you upload, which is stored on Cloudflare R2 object storage.
  • Device data — push notification tokens issued by the Expo push notification service when you enable notifications on a mobile device.
  • Communications content — announcement text, follow-up notes, and song plan details you create or receive through the Service.
  • Usage data — login timestamps, API request logs, and similar technical information generated during normal use of the Service.

3. How We Use Your Information

We use the data we collect to:

  • Provide and operate the Cliamo Service, including roster management, announcements, follow-up tracking, and worship planning features.
  • Send transactional emails (e.g. invitations, password resets) and push notifications related to your activity in the Service.
  • Enforce subscription tier limits and, in future, process payments via Stripe.
  • Respond to and action verified data deletion requests submitted through the app.
  • Maintain security, investigate suspected misuse, and improve the reliability of the Service.

4. Data Sharing

We do not sell your personal data to third parties.

  • Within your church — church administrators can view profile and membership data for members of their own church. Members cannot access data belonging to other churches.
  • Email delivery — transactional emails are sent via ClickSend. Your email address is transmitted to ClickSend solely for delivery purposes.
  • Push notifications — device tokens are forwarded to the Expo push notification service to deliver notifications to your device.
  • File storage — profile photographs are stored on Cloudflare R2. Cloudflare processes this data in accordance with their own privacy policy.
  • Legal obligations — we may disclose personal data if required to do so by law or in response to a valid request from a public authority.

No other third-party sharing takes place without your explicit consent.

5. Data Retention

  • Active accounts — personal data is retained for as long as your account remains active.
  • Deleted accounts — following a verified account deletion request, personal data is removed within 7 days.
  • Deletion requests can be submitted through the in-app settings under Account → Delete Account, or via the web at cliamo.app/delete-account.

6. Your Rights (UK GDPR)

As a data subject under UK GDPR you have the following rights:

  • Right of access — you may request a copy of the personal data we hold about you.
  • Right to rectification — you may ask us to correct inaccurate or incomplete data.
  • Right to erasure — you may ask us to delete your personal data, subject to legal obligations to retain it.
  • Right to restrict processing — you may ask us to limit how we process your data in certain circumstances.
  • Right to data portability — you may request your data in a structured, commonly used, machine-readable format.
  • Right to object — you may object to processing based on legitimate interests.
  • Right to withdraw consent — where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.
  • Right to complain— you have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.

7. Cookies

The Cliamo web application uses cookies and similar technologies solely for authentication and session management purposes (e.g. storing a JSON Web Token). We do not use third-party advertising, analytics, or tracking cookies.

You can control cookie behaviour through your browser settings, but disabling authentication cookies will prevent you from remaining signed in to the Service.

8. Children's Privacy

The Cliamo Service is not directed at children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe we have inadvertently collected such data, please contact us immediately at privacy@cliamo.app and we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via an in-app notification or by email. The effective date at the top of this page will always reflect when the policy was last updated. Continued use of the Service after changes are posted constitutes acceptance of the revised policy.
